Here is a brief tutorial on how to schedule a report in Salesforce in a stress-free manner. In this tutorial, we will discuss how to schedule a report in Salesforce. Do note that permissions for such are necessary in order to do so. Also, do note that this is only available in Professional, Enterprise, Unlimited and Developer editions. Note: When enhanced Notes is turned on, all object-specific New Note actions anywhere in Lightning Experience or Salesforce Classic switch to creating enhanced notes. The only way to create a classic note is to switch to Salesforce Classic and use the New button on the Notes & Attachments related list.

Lindsay WhitbreadI did follow the guide from Create a Report on Your Notes (https://help.salesforce.com/apex/HTViewHelpDoc?id=notes_create_report.htm&language=th) and my report showed blank. This morning, I removed all the fields that the report is filled with by default and just kept the set of fields per the guide, and that did it! Then I added back all the fields and discovered that the New Notes won't show if you have below fields selected:

Hi Lindsay — You're in the right place. Do you have the filter: File Type equals SNOTE ? Also, from Help, 'you can only report on notes taken with Notes,' so older notes (previously in the Notes & Attachments related list) wouldn't be reportable. So it looks like you cannot report on (New) Notes and see its related object - i.e.The report lists all your Notes but not the Contact Name of the record where the Note resides. Is that for real or am I missing something?

I would like to create a very basic report with Accounts and their Notes. It looks like that is not possible from this list of comments on this thread? That's crazy. I can't recommend the use of notes for my client now. Ugh.

Hello, I was able to report on new notes as per the instructions from Lindsay and David. The only fields I left in the report where File name, Published Date, Created By, File Type, Last Revised By and Last Revised Date. If you run the default report it does not return any data which is weird. I also did filter for File Type equals 'SNOTE'. You can only report on your own notes or notes shared with you. Also, I cannot see the Note written. You can only view the Title and CreatedBy and some other unimportant fields.

We really need to be able to report on notes (viewing everyone notes in a single report) Managers are really wanting this feature. Its beneficial to view what notes are being taken down by the sales team.

I have the report working and feeling the pain everybody else is having:
No parentId or related record context (just floating notes).
No preview of the body (a truncated version for SNOTES would work imo if you want to glance and see the first sentence for context without blowing up the look of the report - of course the option to blow up the report with non rich text version of the text might be useful for some)
Hoping Salesforce enhances this report and its report type.

When I follow that help article and create a report, I do get results in Report Builder/Preview mode, but when I actually RUN the report, get no results. Also, it has a 'File Name Contains' filter already built in, and I can't remove it or edit it to say what the file name SHOULD contain. Does this happen to anyone else? Here is the filter:

Read Ryan Greene's comment: 'You can only report on your own notes or notes shared with you.' Found this out too and it's very frustrating. As an admin we should be able to run a report on notes. Salesforce needs to fix this!

Hi, Pretty basic question, so I'm not sure if it is something I am overlooking. Is there a way to pull a report on all of the Notes that are attached to an Account or an Order? I feel like I've searched, even tried creating a custom report type, but cannot select Notes as the primary object. If Account is selected, Notes is not available as a secondary object either. Any ideas?

Unfortunately it can't be done with a Report in SFDC (as the other answers already state) The only way that I've been able to get close is by extracting the Note object using the Force.com DataLoader, running a report in SFDC on whatever object I want to query (Accounts, Opportunities, Contacts, Leads, etc.) then export the Report to Excel (with the object Record ID included) and then do a join/VLOOKUP on the Note.ParentId field. At the end of the day it was not worth the trouble. If you're on EE, UE, or DE you can create a custom field that uses Workflow Rules and Field Updates to build the 'concatenate' functionality of the Notes object (and best yet you can access it in standard reports!) You might also want to give the Excel Connector a shot (I've only played around with it) One other thing to keep in mind if you decide to go down the road of using Tasks instead of Notes or a custom field. Well, we want to pull when our reps put notes into an account. We do not necessarily need the note detail, but the title would be nice. As I can see here, it doesn't seem like an option. I see you gave an alternative, however, is this something that will be cumbersome for our team and also us to migrate the past information?

We want to record ALL notes that are entered into salesforce to pull a report around an amount eneterd each week. I thought it was a simple report but according to this, it can't be done. Details of notes are not necessary at this point. The record amount will vary but I am sure there are notes in thousands of accounts.

@Angela, We're in business! Okay then you should be able to create 2 custom Long Text Fields and update 1 with the contents of the other with a DateTimeStamp using a Workflow Rule / Field Update. Following the steps in my earlier post. Let me know if you need any help.

Now that I am working in it, I think I am wrong. SO lets start over.. the goal.. a report that shows when someone logs a note under an annount to pull they have logged a note. 1: Is this possible? (I believe NO based on the conversation.)... 2: The solutions when I click the links are talking about time stamping which isn't really what we need but just a running tally of notes people entered. Is this possible w/o a lot of work in backlogging :-) If so, how :-)

Hi Angela, Okay, if you just want to get in and get out quick, then give this a try: Create a custom Text Area field (Long Text, or Rich Text) and just enable Field History Tracking on the field. Then run a Field History Report that tracks the changes to the field. Let me know if you need any help.

This can be done if you use DemandTools. You can export the notes and also the Account/Opportunity ID. I had to do this and then re-imported the notes as tasks so that they would show up on existing reports.

In case of a single occasion, non- recurring, report, and you want to provide a nice excel format report, you might choose to copy and paste with the aid a SOQL query in workbench (http://workbench.developerforce.com) Use a query similar to the one beneath, but then tweak it a little to your own need, adding more SELECTion data and WHERE criteria: Select o.Name, o.Id, (Select Id, IsDeleted, IsNote, ParentId, Title, IsPrivate, OwnerId, CreatedDate, CreatedById, LastModifiedDate, LastModifiedById, SystemModstamp From NotesAndAttachments) From Opportunity o [insert WHERE clause if needed]

I know that this is really old, but I came up with a workaround that is really simple. I created a new custom object called Notes and Attached Files. This allows the user to create notes in a rich text field. I added the Notes and Attachments related list to it, so the process is that the user titles the custom note document, saves, then clicks on the attached file feature in the related list. Now I can report on this custom object, as well as have views that the user can utilize. I hid the standard Notes and Attachments related list from accounts and contacts. I use one object with a look up for an account or a contact, but you can always create a separate object for each if you don't want to have that empty field when creating the note with either.

But if you are migrating from Notes & Attachments to Files and Notes there doesn't seem to be a seamless way to transfer those records through to the other object. We want to hide the Notes & Attachments feature but leave Files & Note objects accessible. First we need to capture all our historical data and move it to the related record as either an object or note. Any way we can do this?

Parag SevraHi, Reporting on Old Notes and Attachments is not possible as per standard Salesforce functionality. However, if you have New Notes enabled in your org (go to Setup>Customize>Notes>Notes Settings>Enable Notes), and you have the new Notes Related List added in the Page Layout, you can run a Report on New Notes by following the steps in article:

While this helps to report on Notes it doesn't show the object the note is attached to correct? My users lack context into what the note is about. If I'm missing something, please let me know and I'd double high five you through the screen.
